Terms of Service

1. Acceptance of Terms
By accessing or using save office (the "Service"), creating an account, or subscribing to any plan, you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree, you may not use the Service.
If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms, in which case "you" refers to that entity.
2. Definitions
- Service— the saveoffice.io website and the virtual office, business address, mail handling, and related tools made available through it.
- Customer(or "you") — the individual or entity that registers for and uses the Service.
- Customer Business Address— the physical address at one of our partner locations assigned to you for use as a business address and for mail receipt.
- Mail Services— the receipt, scanning, forwarding, holding, and disposal of mail and packages addressed to your Customer Business Address.
- Subscription— the recurring paid plan that provides access to the Service.
- Operations Partner— Soho Workspaces, INC. (dba The Farm), which operates our partner locations, performs Mail Services, and acts as the merchant of record for Subscriptions.
- Merchant of Record (MOR)— the entity legally responsible for processing payments, remitting taxes, and handling chargebacks for a given transaction.
- Verification— the identity and authorization documentation required before we can activate Mail Services for you.
3. Description of the Service
3.1 Virtual Business Address
We provide a Customer Business Address at one of our partner locations for you to use as a business address for purposes such as company formation, government filings, and general business correspondence.
3.2 Mail Receipt, Scanning, and Forwarding
Our Operations Partner receives mail and packages addressed to your Customer Business Address, scans envelopes (and contents on request), forwards items according to your instructions, and disposes of unclaimed items as described in §8.
3.3 Address Checker and Other Tools
We provide free tools, such as our address checker, to help you evaluate addresses and make informed decisions. These tools are provided as-is and are not legal, tax, or compliance advice.
3.4 AI Chatbot
We provide an AI-powered chatbot for customer support. Output from the chatbot may be inaccurate, incomplete, or out of date. Do not rely on the chatbot for legal, tax, financial, or compliance advice. See §12 for the full disclaimer.
4. Operations Partner & Merchant of Record
Mail handling and physical operations at our seven city locations are performed by our Operations Partner, Soho Workspaces, INC. (dba The Farm). Subscription charges are processed by the Operations Partner as the merchant of record for those subscriptions and may appear on your card or bank statement under a descriptor such as SOHO WORKSPACES or similar.
Refunds, billing disputes, and chargebacks for Subscriptions are processed under the Operations Partner's billing terms in coordination with us. You can always reach us at hello@saveoffice.io for any billing concern, and we will route the matter to the right party.
5. Account Registration & Verification
5.1 Account
To use most features you must create an account and provide accurate, current, and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Notify us promptly of any unauthorized access.
5.2 Identity Verification (KYC)
Before we can activate Mail Services we must verify your identity and, where applicable, the identity of authorized users on your account. We may use third-party identity verification providers and require government-issued identification.
5.3 Mail-Receiving Authorization
US mail-receiving services are subject to USPS regulations that require completion of certain authorization documentation before we (or our Operations Partner) can lawfully accept mail on your behalf. You agree to complete this documentation accurately and to keep it current.
6. Fees, Subscription, Auto-Renewal & Refunds
6.1 Fees and Plans
Plan tiers, prices, and features are described on our pricing page. Add-on fees (such as mail forwarding postage, additional scans, or hold extensions) may apply and will be disclosed before they are charged.
6.2 Auto-Renewal
Subscriptions renew automatically at the end of each billing period (monthly or annual, as you selected) at the then-current rate, unless you cancel before the renewal date.
6.3 Cancellation
You may cancel your Subscription at any time by emailing hello@saveoffice.io or through your account, where available. Cancellation takes effect at the end of the current billing period; you retain access until then.
6.4 Refund Policy
Refunds are limited to cases where you cannot complete identity verification within fifteen (15) days of purchase, with documented proof of denial through official channels. All other fees are non-refundable except as required by applicable law.
6.5 Statement Descriptor
Because our Operations Partner is the merchant of record (see §4), Subscription charges typically appear on your statement under a descriptor such as SOHO WORKSPACES rather than "save office." This is normal and not a sign of fraud. If you do not recognize a charge, contact us before disputing it with your bank.
6.6 Failed Payments
If a Subscription payment fails, we (or our Operations Partner) will retry the charge over a grace period of up to seven (7) days. If payment is not made, we may suspend Mail Services. If payment remains unresolved for thirty (30) days after suspension, we may close the account and forward or dispose of mail in accordance with §8 and §16.
7. Acceptable Use & Prohibited Uses
You agree not to use the Service:
- For any unlawful purpose or in violation of any applicable federal, state, or local law or regulation, including USPS regulations governing commercial mail receiving services
- To receive mail on behalf of any third party who has not been duly authorized on your account
- To register a business address that you do not intend to use in good faith for legitimate business purposes
- To send, receive, or store hazardous, illegal, or controlled items, or items prohibited by USPS or our Operations Partner
- To engage in fraud, money laundering, sanctions evasion, or to facilitate spam, phishing, or malware distribution
- To attempt to interfere with, reverse-engineer, or gain unauthorized access to the Service or the systems of any service provider
We may decline to onboard or may suspend any account in industries we determine to carry elevated regulatory risk.
8. Mail Handling
8.1 Receipt and Scanning
Mail and packages addressed to your Customer Business Address are received and processed by our Operations Partner. Envelope scans are typically uploaded to your account within one business day of receipt; content scans require your request and may carry an additional fee.
8.2 Forwarding
Forwarding is performed at the frequency you select (weekly, monthly, or on demand). Postage and any shipping carrier fees are passed through at cost or with a small handling fee disclosed in advance.
8.3 Hold Periods
Mail is held for up to thirty (30) days by default. You may request an extension; extended holds may incur a fee.
8.4 Disposal of Unclaimed Mail
Mail and packages that remain unclaimed beyond the applicable hold period (typically 60 to 90 days depending on the location and item type) may be returned to sender, shredded, recycled, or otherwise disposed of at the Operations Partner's discretion.
8.5 Lost or Damaged Mail
Mail and packages are physically held and processed by our Operations Partner. Liability for lost, damaged, or delayed mail is governed by the Operations Partner's mail-handling terms and applicable carrier liability rules. To escalate any mail-related issue, contact hello@saveoffice.io and we will coordinate with the Operations Partner on your behalf.
8.6 Hazardous and Prohibited Items
Our Operations Partner may refuse, return, or dispose of any item that violates USPS regulations, carrier policies, or our Acceptable Use rules, including hazardous materials, illegal substances, live animals, perishables, or items requiring cold-chain handling.
9. Intellectual Property
The Service, including its software, design, content, trademarks, and logos, is owned by Unitblack Labs or its licensors and is protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose. You may not copy, modify, distribute, sell, or create derivative works without our prior written consent.
10. Privacy and Data Protection
Our handling of personal information is described in our Privacy Policy. If you require a data processing agreement or additional documentation for your own compliance program, contact hello@saveoffice.io.
11. Third-Party Services and Tools
The Service relies on or links to third-party services, including Stripe (payments), our Operations Partner (mail and locations), Google (Workspace, Maps, Analytics), Microsoft Clarity (analytics), Smarty (address verification), Anthropic (chatbot), Calendly (scheduling), and others. Your use of these services is also subject to their own terms and policies.
12. AI Chatbot Disclaimer
The chatbot uses generative AI and may produce output that is inaccurate, incomplete, or out of date. You are responsible for evaluating the accuracy of any output and for any decisions you make based on it. The chatbot does not provide legal, tax, financial, accounting, or compliance advice; consult a qualified professional for those matters.
13. Disclaimers
THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS. TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING OUT OF COURSE OF DEALING OR USAGE OF TRADE. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS.
14. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL UNITBLACK LABS, ITS AFFILIATES, OR ITS SUPPLIERS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.
OUR AGGREGATE LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS WILL NOT EXCEED THE GREATER OF (a) THE FEES YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO LIABILITY OR (b) ONE HUNDRED US DOLLARS ($100). Liability for lost or damaged mail is governed separately by §8.5.
15. Indemnification
You agree to indemnify and hold harmless Unitblack Labs, our Operations Partner, and our respective officers, employees, and agents from and against any claims, damages, liabilities, and reasonable attorneys' fees arising out of (a) your use of the Service, (b) your violation of these Terms or any applicable law, or (c) your infringement of any third-party right.
16. Termination
16.1 By You
You may terminate your Subscription at any time under §6.3.
16.2 By Us
We may suspend or terminate your access to the Service for cause, including violation of these Terms, suspected fraud or abuse, non-payment, or as required by law. Where reasonable, we will provide advance notice.
16.3 Effect on Mail
After termination, our Operations Partner will hold remaining mail for the period described in §8.3 and §8.4. You are responsible for arranging forwarding or pickup before that period ends. We will assist with a reasonable wind-down on request.
17. Governing Law & Disputes
These Terms are governed by the laws applicable to the jurisdiction where Unitblack Labs is established and registered, without regard to its conflict-of-laws principles.
Before filing any formal claim, you agree to first contact us at hello@saveoffice.io with a description of the dispute and the resolution you seek, and to allow us sixty (60) days to resolve the matter informally.
18. Changes to These Terms
We may update these Terms from time to time. Material changes will be announced by a prominent notice on our website at least thirty (30) days before they take effect, and (where appropriate) by email to active subscribers. Continued use of the Service after the effective date constitutes your acceptance of the revised Terms.
